This guide will help us to setup a project's billing based on Billing Type.

Important

Employees can make time-entries against the task whose project is shared( Read access ) with them. Therefore, after creating the project make sure to share it with employees.

Next PMS supports 4 type of billing setup for Projects, which are used to calculate billing & costing information automatically by the system based on the set criteria.

  1. Non-Billable
  2. Fixed Cost
  3. Retainer
  4. Time and Material

Non-Billable

  • Projects which are marked Non-Billable only costing information will be calculated, and by default all the task created for this projects will also be marked as Non-billable.

Fixed Cost

  • Fixed-cost projects are those where the total project cost is predetermined and agreed upon in monetary terms.
  • To support this billing type, Fixed Cost is provided, allowing PMs to track estimated cost.
  • Additionally, the number of estimated or purchased hours can also be tracked, which will be updated automatically based on the time logged by the employees against the project.
  • PMs can define the Hourly Billing Rate for the project, which will be used to calculate the billing information, while creating or updating time-entries, if related Task is marked as billable.

Retainer

  • Retainer projects are ongoing or support-based projects that typically involve a recurring engagement. They offer similar functionality to fixed-cost projects in terms of cost tracking and time logging.

Time and Material

  • Project where billing is calculated based on the number of hours invested into project. Also employees working on the project can have different different billing rates based on experience.
  • To capture this information Team member section should be filled out.
  • As rates can change as project progress each row have start and end date for certain rates, this ensure whenever the billing is calculated again, there is no discrepancies caused by the rate changes.

Important

PMs need to share the project with employees for them to make time-entries.
